Event & Tradeshow Coordinator will be a key member of the Events Team and is responsible for supporting in the planning, production and execution of company trade shows and external, customer-facing events to ensure alignment with corporate strategy and event objectives. This position will help build strategic customer loyalty through successfully planning and executing events targeted at increasing visibility, retaining customers, and attracting new prospects. In addition the Event & Tradeshow Coordinator is responsible for being the main point of contact for all internal company departments and for ensuring that all related security and operational protocols are followed prior to, during and after each show takes place. This cross-functional position requires close collaboration with various members of PCGS, PSA and Collectors staff. 

This is a remote position that requires 50% travel and reports to the Senior Events Manager.

• Coordinate with organizers for event requirements: Space selection, securing the venue including offsite meeting rooms
• Ensure all trade shows and events are planned and executed in accordance with company policies, branding guidelines, and Code of Ethics.
• Prioritize health and safety of attendees throughout the planning and execution of all events and shows.
• Liaise with venue and third-party vendors, coordinating exhibit details, overseeing ordering of show services, managing creative assets, and maintaining booth inventory.
• Set up all manifest logs, coin movement logs, and paperwork pre-show
• Assist with set-up and tear-down of booth, as necessary including cameras, safe and manifest locations
• Research sponsorship opportunities
• Participate in the objectives planning process led by the Event Team
• Setup Brinks trucks for shipments for both in/outbound
• Collect money through outreach via email, phone etc. to make sure dealers are meeting payment deadlines
• Update and manage input to shared documents used by the wider team to facilitate coordination and collaboration of events planning.
• Travel (50%) to various cities where major shows are taking place, set up and work show, prepare documentation
• Close down the show and assist in preparing items to be shipped back to home office and prepare documentation
• Generate customer invoices, contacts customer with outstanding balance, process payments
• Show logistics (electrical, drayage, equipment rental AV), administrative coordinator, and other related duties as assigned by supervisor

Who You Are:

• Experience with trade shows, conferences, award shows and/or special events 
• Willingness to travel, work long hours, and on weekends and public holidays
• Savvy computer skills with programs such as Microsoft Office (Excel), Google Docs, Slack and Navision
• Excellent financial management abilities
• Ability to take initiative to complete objectives
• Excellent interpersonal and negotiation skills
• Strong organizational and time management abilities
• Good written and verbal communication skills
• Ability to perform under pressure
